Information for participants【Registration/To Chairman・speakers】

1. Registration

Registration date and time: 8:00-17:00, Tuesday, September 2
7:30-12:00, Wednesday , September 3

Registration location: 4th floor Room 407, Arcrea Himeji

Participation fee: 15,000 yen (cash only)

*Please pay the registration fee at the reception desk in the venue on the day and receive your participation certificate (name card). The entry of those who are without a participation certificate will be strictly prohibited.

Congress Reception Party fee: 5,000 yen (cach only)

*Please note that seating is limited.

2. Other

1) The use of mobile phones and smartphones in the lecture hall will cause inconvenience to other participants. When entering the lecture hall, Please turn off the power or set your phone to silent mode.

2) Please refrain from recording, recording, or taking photographs in the lecture hall.

3.To the Chairman

  1. Please come to the "Next Chairperson's Seat" at the front right of the venue 15 minutes before the start of the session.
  2. We will ask you to facilitate the meeting, but please cooperate by being punctual.

4.To speakers

  1. Presentation time is as follows: Topic: 6 minutes presentation + 2 minutes Q&A

    1) The timer on the podium will be on with a yellow light 1 minute before the end of the presentation and a red light when the presentation is finished.

    2) Please cooperate in keeping to the presentation time.

    3) Please be seated in the "next speaker's seat" in the venue at least 15 minutes before the start of the presentation session.

  2. Presentation format

    Reception of presentation data

    1) PC data reception

    Presentation data will be accepted on the day. Please preview and receive your presentation data at least 30 minutes before the start of the presentation.

    2) Presentation data

    - Please prepare presentation slides in 16:9 size.

    - The OS of the computers provided by the conference will be Windows.

    - The application will be Microsoft PowerPoint 2013-2021.

    - Presenter tools will not be available. If you need a manuscript for your presentation, please prepare it by yourself.

<For data presentations>

- Please use the standard fonts of Microsoft PowerPoint for Windows. If you use fonts except the recommended ones, the layout will be broken. If you use special fonts, please convert them to images and paste them as objects. (Recommended fonts: MS Gothic, MSP Gothic, MS Mincho, MSP Mincho, Arial, Century, Times New Roman).

- When embedding a video in PowerPoint, please use a format that works with Windows Media Player. If you use a video as links, please put the PowerPoint data and video data in the same folder to avoid link breakage.

- If you use a video, we recommend that you bring your own PC.

- The presentation data will be deleted responsibly by the secretariat after the conference.

<For presentations using a PC>

- If a special connector is required for external output, the speaker must bring the connector themselves.

* The output terminal specifications may depend on some devices, such as Macs and thin PCs.

  • Only HDMI and mini D-sub 15 pin monitor output terminals will be provided at the venue.
  • Please be sure to bring a power adapter. Also, please turn off any modes that may interfere with your presentation, such as screen savers, power saving functions, and password settings.
  • We recommend that you bring your own data on a USB flash drive.

Instruction for Poster Presentation Speakers

  1. Posters must be Prepared in English.
  2. Ribbon for the presenters and pins for placing the posters are attached on the panel.
  3. Moderators are assigned for every Poster Sessions. Each presentation is allotted 4 minutes for speaking and 2 minutes for Q&A. All the presenters are asked to keep to the allocated time.
  4. Presenters are requested to stand by their poster panels 10 minutes prior to the session starts.
  5. Please check the Poster Session Area on this program to find the location of your assigned poster board. Poster panels are 210 cm height x 90 cm width. Please refer to the diagram and use largesized characters for easy reading. 20 cm height x 70 cm width of the upper part of the panel will be used for labeling your Poster Title, Affiliation, and the authors’ names, which should be prepared by presenters.
  6. Posters must be removed at the end of each day.
  7. Any posters remaining on the panels after the removal time will be discarded by the secretariat.
